Product Types
The Product Types field lists the activity types. iMIS comes with default activity product types which may be edited to include additional fields or to change field labels. Additional activity product types may be defined.
Type
(required) Specifies the activity category or code that corresponds to the code in the Activity Types table. This code determines which fields are used in the Activity Detail window and cannot be changed once the record is stored.
Description
(required) Describes the activity type.
Subtype
Specifies a sub-type of the activity type. The Subtype field enables you to sub-categorize the activity type. For example, a product code is a sub-type of the activity type Sales.
Description
Describes the sub-type. If this field is activated, a text box is created within the Activity Detail window that enables up to 255 characters of text.
Note
Specifies notes you want to keep. If activated, a large text box is created within the Activity Detail window that enables up to 32,000 characters.
Follow-Up
Specifies follow-up comments. If activated, a large text box is created within the Activity Detail window that enables you to enter up to 32,000 characters.
Eff Date
Specifies an additional date field (The activity date is system generated). Used if another date field is necessary for the activity. For example, for tracking the begin date of a committee appointment.
Thru Date
Specifies an end date. For example, the ending date of a committee appointment.
Source
Specifies either a marketing code, or an individual to which an item will be assigned. For example, if an order sale is made over the phone, the code used to track this information might be Phone. Codes may be set up for advertising, catalogs, salespeople, etc.
To track the source of Event registrations, enter Source in this field. This activates the Source lookup field on the Register for an Event window's Overview tab.
Note: For task or call logging activities, the name or user ID for which this reminder should be logged is entered in the Source field. If Assigned To is entered in this field, the lookup feature is available for all user IDs. If the field is blank, the reminder message will display in all users' task activities.
Amount
Specifies a monetary amount for the activity.
Task Date
Specifies the date on which an activity record will be displayed in the user's task list (user defined in Source).
Action
Specifies the type of action taken on a task item.
CEU Type
Specifies the type or category of educational credit awarded (With CEU add-on module only).
Qty/CEU
Specifies the number of credit hours awarded for a CEU course, or specifies the frequency of a recurring request.
Note: For SALES and ORDER activity types, the system stores the value entered in the Qty/CEU field in Activity.QUANTITY. For all other activity types, the system stores the value entered in the Qty/CEU field in Activity.UNITS.
UF_1, UF_2, and UF_3
Specify user-defined character information, that will be displayed in the bottom half of the Activity Detail window. For example, the GIFT and PLEDGE activities define these fields as List As, Campaign Code and Fund Code.
UF_4 and UF_5
Specify user-defined numeric information.
UF_6 and UF_7
Specify user-defined date information. For example, the REQUEST activity defines these fields as End Date and Last Reminder.
CO ID
Specifies an ID number. For example, the REQUEST, GIFT, and PLEDGE activity types define this field as Solicitor ID.
Other Code
Not implemented
Keywords
Specifies a keyword to restrict access to this type of activity record.
Allow user Edit
When selected, enables users to edit detailed activity records of this type.
Profile Position
Specifies the order in which you want this type of activity to be printed on the customer profile report. If this field is left blank, the activity type will not be printed on the customer profile report.
Retain (months)
Specifies the number of months you wish to retain this type of activity record. Items older than the retention period are deleted when your system administrator purges old activities.
Create History Tab
When selected, creates a new tab for this type of activity in the Customer Portfolio. The tab will contain a New Activity button that enables you to enter new activities of this type, provided that you have also selected the Allow user Edit checkbox.
Tab Name
(Displayed only when Create History Tab checkbox is selected) Specifies the name of the Customer Portfolio history tab that shows this type of activity.
Note: The activity tab will not be displayed in the history area of the Manage customers window until you select the tab from the Customer Portfolio Tab Preferences window.
Generates and sends a customer type table report to your report destination.
Note: The Type, Subtype, and user-defined character fields can have a general lookup/validation table. The table can vary by activity type. For example, the CALL sub-type might generate a list of CALL types such as question, problem, or other while the EXPERIENCE activity sub-type might generate a list of experience subtypes such as work experience, academic, etc.
To create an activity type
1. From Customers, select Set up module > Activity types to open the Activity types window.
2. Click New.
3. Enter the activity category or code in the Type field.
4. Enter a Description of the activity type.
5. Enter additional prompts, if needed.
6. Click Save to update the activity type.
To edit an activity type
1. From Customers, select Set up module > Activity types to open the Activity types window.
2. Select an activity from the Product Types column.
3. Select the activity to open it in the Activity types window.
4. Click Edit.
5. Make any necessary edits.
Note: The Type field cannot be edited.
6. Click Save to update the record.
To delete an activity type
1. From Customers, select Set up module > Activity types to open the Activity types window.
2. Select an activity from the Product Types column.
3. Select the activity to open it in the Activity types window.
4. Click Delete. A system message prompts you to verify the deletion of the selected record.
5. Click Yes.
To create the LETTER activity type
1. Create a new activity type using the following settings:
□ Type: LETTER
□ Prompts for Description, Note, and Source.
□ Additional prompts, if needed.
Note: The prompts entered in the Activity types window dictate which fields are enabled and visible in the Activity Detail and Activity Importer windows.
2. Click Save to update the activity type.
To display activity records in customer profiles
You can configure an activity type to be displayed in customer profiles. If a customer does not have an activity record for a particular activity type, then that activity type will not be displayed in the customer's profile. Activity records are grouped according to type, and you can specify the order in which the activity types display.
1. From Customers, select Set up module > Activity types to display the Activity types window.
2. Select an activity type from the Product Types list.
3. Click Edit.
4. Enter a Profile Position to display the activity type and related activity records. You have several options:
□ To not display an activity type and its related activity records, enter a Profile Position of zero. The default Profile Position is zero.
□ To display an activity type and its related activity records in the customer's profile, assign a number greater than zero to the Profile Position to display the activity type. For example, enter a 1 for the Email activity type.
□ To sort the order in which the activity types display, enter numbers in succeeding order for each activity type. An activity type with a Profile Position of 1 will display ahead of an activity type with a Profile Position of 2, and an activity type with a Profile Position of 2 will display ahead of an activity type with a Profile Position of 3.
For example, if you want the customer's Call Log activity records to display first in the customer's profile and the customer's Award activity records to display second, enter a 1 for the Call activity's Profile Position and a 2 for the Award activity's Profile Position.
□ To order the activity types alphabetically, assign the same Profile Position to each activity type. For example, enter a 1 for each activity type's Profile Position.
5. Click Save.
